Privacy policy
How student and family information is collected, used and protected.
This policy is a starting template. The academy should have it reviewed by a qualified attorney for the states where students live before relying on it.
Information we collect
- Account details: names, email addresses, phone numbers, time zone.
- Student details: grade level, school, date of birth (to determine whether parental consent is required).
- Academic records: attendance, submitted work and files, grades, feedback, quiz responses, test scores reported to us, learning plans.
- Billing records: invoices and payment records. Card payments are processed by Stripe; card numbers are never stored by World Wide Education Services LLC.
- Security records: sign-in times, IP addresses and an audit log of important actions.
How information is used
Only to provide instruction, communicate with students and families, manage tuition and keep the service secure. Student information is not sold and is not used for advertising.
Who can see it
- Students see only their own records.
- Parents and guardians see records only for students linked to their account and approved by the academy.
- Instructors and tutors see records only for students in the courses they teach.
- Service providers (hosting, email delivery, payment processing, video meetings) process data only to run the service.
Children under 13
Accounts for students under 13 remain inactive until a parent or guardian is linked and verifiable parental consent has been recorded by the academy. Parents may review, correct or request deletion of their child's information and may withdraw consent at any time by contacting us.
Retention and security
Records are kept for as long as needed to provide instruction and meet legal and financial record-keeping obligations, then deleted or anonymised. Data is encrypted in transit; files are stored privately and served only to authorised users.
Your choices
You can update account details and notification preferences from your profile, and request access, correction or deletion by contacting the academy.
